Privacy Policy

Ab2 Institute of Accounting (Ab2) is committed to protecting your privacy and ensuring that all personal data collected from you are processed according to the principles of transparency, legitimate purpose, and proportionality pursuant to the Philippine Republic Act No. 10173 or the “Data Privacy Act of 2012” (DPA) and its Implementing Rules and Regulations (DPA-IRR).

Information We Collect, Acquire, or Generate

We collect, acquire, or generate your personal information in many forms. This may consist of written records, photographic or video images, and other digital material. This will include:
  1. Enrolment information. When you enroll with us, we collect among others: (1) directory information such as your name, email address, address, age, phone number and other contact details; and (2) data about your personal circumstances such as previous study, employment information, languages spoken, disabilities, and study reasons 
  2. Post-enrolment information. After you enroll, we may also collect additional information about you including previous studies undertaken for the purpose of providing credit or recognition 
  3. Unsolicited information. There may be instances when personal information is sent to or received by us even without prior request. In such cases, we will determine if we can legitimately keep such information. If it is not related to any of our legitimate interests, we will immediately dispose of the information in a way that will safeguard your privacy. Otherwise, it will be treated in the same manner as information you provide us.
If you supply us with personal data of other individuals (e.g., emergency contact), we will request you to certify that you have obtained individual consent prior to providing us with their personal data.

How We Use Your Information

To the extent permitted or required by law, we use your personal data to pursue our legitimate interests as an educational institution, including a variety of academic, administrative, research, historical, and statistical purposes. For example, we may use the information we collect for purposes such as:
  1. Processing enrollments;
  2. Recording, generating, and maintaining student records of academic progress;
  3. Recording, storing, and assessing student work such as assessment workbooks;
  4. Recording, generating, and maintaining records, electronically or by other means, of assessment outcomes, workshop attendance and participation, academic progress, etc.;
  5. Establishing and maintaining student information systems;
  6. Processing funding or grants where applicable;
  7. Investigating incidents that relate to student behavior and implementing disciplinary measures;
  8. Compiling and generating reports for statistical purposes;
  9. Communicating official institution announcements;
  10. Sharing your information with persons or institutions as provided below
If we require your consent for any specific use of your personal data, we will collect it at the appropriate time. Please note further that we will not subject your personal data to any automated decision-making process without your prior consent.

How We Share, Disclose, or Transfer Your Information

To the extent permitted or required by law, we may also share, disclose, or transfer your personal data to other persons or organizations to uphold your interests and/or pursue our legitimate interests as an educational institution. For example, we may share, disclose, or transfer your personal data for purposes such as:
  1. Reporting and/or disclosure of information to the NPC and other government bodies or agencies (e.g., Commission on Higher Education, Department of Education, Bureau of Immigration, Department of Foreign Affairs, Civil Service Commission, Bureau of Internal Revenue, Professional Regulation Commission, Legal Education Board, Supreme Court, etc.), when required or allowed by law;
  2. Complying with court orders, subpoenas and/or other legal obligations;
  3. Conducting internal research or surveys for purposes of institutional development;
  4. Use of photos, videos, and other information to promote the institute, including its activities and events, through marketing or advertising materials, such as brochures, website posts, newspaper advertisements, physical and electronic bulletin boards, and other media;

How We Store and Retain Your Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification, or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

Personal Information that we stored, may be processed in, or transferred between parties located in countries outside of Australia but are not limited to New Zealand, UK, USA, Canada, Philippines.

By giving your personal information, you are providing your consent to the terms and condition of this Privacy Policy. Third parties where you consent to the use or disclosure; and where required or authorized by law on handling your information.

If there is a change of control in the business or transfer, we reserve the right to transfer our user databases together with all information provided in this privacy policy to the extent permissible at law. These information may be disclosed to a potential partnership under an agreement to maintain confidentiality.

Data Protection Officer

Ab2 will appoint a Data Protection Officer (“DPO”). The DPO is responsible for ensuring Ab2’s compliance with applicable laws and regulations for the protection of data privacy and security. The functions and responsibilities of the DPO shall particularly include, among others:
  1. Monitoring Ab2’s Personal Data Processing activities to ensure compliance with applicable Personal Data privacy laws and regulations, including the conduct of periodic internal audits and review to ensure that all of Ab2’s data privacy policies are adequately implemented by its employees and authorized agents; 
  2. Functioning as a liaison between Ab2 and regulatory and accrediting authorities, and taking charge of the applicable registration, notification, and reportorial requirements mandated by the DPA, as well any other applicable data privacy laws and regulations; 
  3. Creating, establishing, and reviewing policies and processes for Data Subjects to exercise their rights under the Data Privacy Act and other applicable personal data privacy laws and regulations; 
  4. Functioning as the primary point of contact with whom the Data Subject may coordinate and consult on all matters concerning their Personal Data; 
  5. Putting together capacity-building, orientation, and training programs for employees, agents, or representatives of Ab2 in relation to privacy and security regulations for personal data; 
  6. Writing and filing the annual report of the documented summary Security incidents and Personal Data breaches, if any, as required by the Data Privacy Act, as well as compliance with other regulations may be included in additional issuances of the National Privacy Commission. 

Third-Party Disclosure

We work with our third-party digital app providers who provide functions related to contact management, application development and integration, and web hosting who has their own respective Privacy Policy linked to their pages. We do not share or trade information to outside parties your Privacy Information. Here is the list of our third-party providers:
  • Infusionsoft CRM
  • GoDaddy
  • InMotion
  • Social Media Account
These are third parties providing services for us which we purchased or subscribed on. They may have the access on our contacts, but they are subject on maintaining the confidentiality of such information and only perform their functions necessary in providing us their services. These third-party products or services are not included on our website.

How to Access and Update your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing. Ab2 Institute of Accounting will not charge any fee for your access request but may charge an administrative fee for providing a copy of your Personal Information. To protect your Personal Information, we may require identification from you before releasing the requested information. It is an important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete, and up to date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.

Courses That Are Accredited in Australia

If you enroll in courses that are accredited in Australia as a nationally-recognised course, we are required to collect your personal information and disclose it to the National Centre for Vocational Education Research (NCVER) and other government regulatory bodies for statistical, administrative, and reporting purposes. For more information about how NCVER will handle your personal information please refer to the NCVER’s Privacy Policy at www.ncver.edu.au/privacy.

Changing This Policy

This Data Privacy Notice may be amended at any time without prior notice, and such amendments will be notified to you via Ab2 Institute of Accounting’s website or email.
